CLOSING OPERATIONS DUTIES:
•Managed closing operations for real estate transactions.
•Manage the end-to-end closing process for real estate/mortgage transactions.
• Prepare, review, and verify closing documents (Closing Disclosure/HUD-1, settlement statements, title documents, deeds, loan documents).
• Coordinate with lenders, title/escrow officers, real estate agents, attorneys, and mortgage brokers to schedule closings and ensure all parties have required paperwork.
• Order and review title searches, payoffs, surveys, and payoff statements; resolve title defects and liens.
• Ensure accuracy of loan terms, fees, prorations, and disbursements; calculate final figures and verify funding amounts.
• Collect, process, and account for closing funds; wire or disburse funds and confirm receipt; reconcile escrow accounts.
• Ensure compliance with federal, state, and local regulations and company policies (e.g., RESPA, TILA, TRID); maintain audit-ready closing files.
• Communicate status updates and answer borrower/client questions; provide clear explanations of closing costs and documentation.
• Troubleshoot and resolve issues that could delay closing (document errors, funding holds, title problems).
• Maintain electronic and physical records; prepare post-closing packages and deliver documents to appropriate parties (county recorder, investors).
• Perform post-closing review, corrections, and curative actions; coordinate endorsements and reissues as needed.
• Generate reports for management on closing volume, exceptions, and outstanding items; suggest process improvements.
• Use closing and loan origination software and maintain data accuracy in internal systems.
• Train and mentor junior staff or coordinate with outsourcing partners for overflow support.
NOTARY PUBLIC DUTIES:
• Verify identity of signers (acceptable ID, personal knowledge, credible witness)
• Ensure signer is willing and understands the document (no coercion)
• Confirm signer is competent and signing voluntarily
• Administer oaths and affirmations
• Take acknowledgments (officially confirm signer’s identity and willingness)
• Complete jurats (witness signature and administer oath that contents are true)
• Certify copies of non-public records (where allowed by state law)
• Witness and authenticate signatures on affidavits, deeds, powers of attorney, contracts, loan documents, wills (varies by jurisdiction)
• Record notarial acts in a journal or log (date, type of act, signer name, ID used, fee, signature) where required
• Apply and affix notary seal or stamp and sign the notarial certificate correctly
• Maintain impartiality and avoid conflicts of interest (e.g., not notarize for close family in some states)
• Safeguard notary journal, seal, and records; follow record-retention rules
• Follow state-specific laws, fee schedules, and renewal/education requirements
• Refuse notarization when required elements are missing (e.g., signer not present, incomplete document, suspected fraud)
