• Monitors, supervises, and holds accountable state, federal, licensing, contractual, and any other pertinent accreditation and company standards including attendance, punctuality, completion of paperwork, staffing patterns and boundaries.
• Identifies monitors and provides training for assigned staff to ensure ongoing professional development, performance improvement and integration of policies and procedures to maintain company standards.
• Completes on a timely basis, all staff related reports/documentation (including staff actions, evaluations and staff needs) and the pertinent dissemination of all information to the necessary parties or departments.
• Assumes a lead role on the Health and Safety Committee for annual review of Safety Plans (including the hazard analysis), the Infection Control Plan and assists with presentation of data analysis and interpretation, related to Health and Safety Committee areas of responsibility including but not limited to: Medication Management, Infection Control, Fire Safety, Restraints, and risk management activities.
• Demonstrates ability to evaluate the program's readiness to respond to emergency situations through analysis of drills, audits and ongoing compliance to relevant company policies primarily assessed through supervisory observation.
• Coordinates and performs audits to assess program compliance with internal and external requirements and standards.
• Works effectively with program leadership and other levels of staff and communicates regularly and clearly the activities of the program improvement initiatives.
• Models and trains staff on auditing, reviewing, problem solving principles and methodologies in workgroups, committees and formal and informal interactions with staff on a range of activities focused on improving the program.
• Recommends and clearly communicates revisions in processes, policies or procedures related to the compliance with licensing regulations, accreditation standards and purchase of service agreement obligations.
• Ensures all allegations of abuse and/or neglect are reported to the appropriate state or county authorities and all regulatory and contractual reporting requirements are adhered to as primarily assessed though supervisory review/observation and incident reporting.
• Responsible for assisting in the day-to-day operations of the Case Management Department including assessing and responding to the needs of youth in the program. This position develops Individual Service Plans, screens for human trafficking concerns, and facilitates the safe and timely release or discharge of youth from the program. The Case Manager works closely with related departments and documents the provision of services.
• Conducts initial intake interview of youth including sponsorship information, gathering familial information, seeking available options for youth and maintaining contact with youth's family members, friends, and sponsors.
• Ensures a timely completion of assessments: Initial Intake, Emergency Placement, and Preliminary Service Plans in accordance with VQ, state, and federal requirements. Additional assessments may be required.
• Completes and submits reunification packets for initial review and referral with appropriate personnel for timely release of youth.
• Coordinates with Florence Immigration & Refugee Rights Project and pro-bono attorneys for timely provisions of “Know Your Rights” presentations.
• Submits a Significant Incident Report within 24 hours upon notification of the incident along with report submission to state licensing and VQ internal reporting system.
• Provide administrative work for a Superior Court Judge.
• Schedule and maintain a calendar for trials, hearings, and other divisions and judicial related matters.
• Review minute entry orders and other court documents for accuracy and content, publish and distribute weekly calendar, remote court reporting coordination, resolve scheduling conflicts and coordinate calendar changes as appropriate, prepare legal documents, orders, memoranda and correspondence that is confidential in nature.
• Checks case files for completeness and accuracy; prepare documents using knowledge of the legal and judicial processes.
• Coordinate activities with attorneys, Court Administration, and other Divisions of the Cochise County Superior Court.
• Answer questions from the public and attorneys as permitted, maintain office files, complete a monthly and yearly statistical file review, makes travel and lodging arrangements, and perform other support activities as required or assigned.
• Performs activities including, but not limited to, recording all courtroom proceedings by attending court sessions, communicating oaths with witnesses and juries, maintaining exhibits (evidence) offered in a courtroom, preparing files, checking in defendants and other case required parties, filling out appropriate forms and orders, calling cases, marking files, stamping copies, setting, and maintaining proceedings dates, and entering required data into AJACS (date base).
• Schedule date of trials, hearings, and all other appearances or reviews; orders, judgments, and verdicts; transcribing notes into minute entry format, court documents, and sentencing
• Accepts record, certify, initiate, correct/amend, distribute/mail, and secure/seal a variety of court documents.
• Assume duties of bailiff and/or judicial assistant in their absence; prepare judgments and final dispositions on criminal cases, gives notice of felony convictions to proper authorities, including county, state, and federal agencies.
• Accepts, records, certifies, initiates, correct/amend, writes, types, distribute/mails, and secure/seals on a variety of court documents; manages case data tracking system; performs research.
• Provide information to the public in person, by phone or electronic communication to answer relevant questions concerning cases.
• Utilize manual and computerized filing systems and verbal and written communications while exercising considerable care and independent judgment in providing sensitive information.
• Process court documents to ensure proper filing, distribution and required actions. Perform case management duties, data entry, filing, typing and scanning Court documents.
• Process court forms and documentation including warrants, summons, orders of protection, injunctions prohibiting harassment, bonds, and other documents to provide appropriate legal documentation.
• Receive payment from citizens for fees, fines, and other monies paid to the Court. Maintain detailed and accurate accounting of monies for fines to control receipt of money and reconcile daily deposits and receipts.
• Provide exceptional customer service to internal and external customers; perform related work as required and other duties as assigned.
• Plan and carry out yearly fund-raising event of over 500 attendees to raise funds for underprivileged children and elderly living in a donation funded care home in Mexico.
• Collect meals, clothing and gifts during the holidays for the children and elderly living in the care home.
• Plan fun activities for foster children to participate in on special occasions such as Christmas, Easter, Halloween, Beginning of Summer, and Dia del Nino (Mexican Children Day) to provide a safe environment for children to spend their holidays.
