Welcomes, greets, and directs clients to appropriate services/parties. Assists with paperwork as needed.
. Works with individual Tribal Enrollment Offices with policies and request process requesting copies of Certificate of Indian Blood or Tribal ID Cards clients
· Contacts internal/external departments when needed for referral information, medical documentation and/or other assistance for clients.
· Receives and accurately distributes calls, faxes, emails and phone messages. Inform (verbal and written) the public on NAC programs, procedures, etc.
· Screens callers interested in substance use treatment.
· Completes intakes and creates client files, scans/uploads client information and schedules assessment appointments.
· Facilitates new clients being scheduled with Assessors for assessment as quickly as possible by locating available staff.
· Ensures that daily client appointments are accurately logged in the electronic health record.
· Puts intake and admit packets together for clients, keep necessary stock of packets, provide copies for staff as needed
· Monitors reception area and the waiting room for access to care intervention.
· Orders office supplies from various vendors
· Assists clients with AHCCCS application/reinstatement.
· Assists enrolled tribal member clients with obtaining copies of CIB or TID.
· Gathers prior authorization fax confirmations and uploads to client records.
· Captures prior authorizations received, uploads to the client records and forwards to intake team.
· Coordinates with external programs to ensure the fluidity of the same day admit process.
· Acts as a liaison for Admissions Coordinator and Intake Coordinator
· Screens referrals for necessary clinical information and schedules clients for assessments as quickly as possible
· Checks client eligibility regularly and submits for initial prior authorization for residential admissions requiring prior authorization.
· Notify clients and referral sources of all documents and needs for entering treatment.
· Assists with processing and tracking referrals from Detox Centers, SMI Clinics, Hospitals, and Tribal agencies.
· Assists with the daily processing and uploading of the Authorization to Disclose SUD Records to AHCCCS.
